Who we are

PHVA Academy & Jobs ("PHVA," "we") operates this training and placement platform at https://learn.philippinesvirtualassistants.com. For any privacy matter, contact our data protection contact at info@cineminn.com.

What we collect

• Account data — name, email address, password (stored as a one-way hash, never readable by us).
• Profile data you choose to add — location (city/province), role interests, experience, English level, skills, desired rate, availability, photo, resume, voice introduction sample, and work-setup details (internet speeds, equipment, backup power/internet, workspace).
• Training data — course progress, quiz scores, assessment results (English, cognitive, work-style), certificates earned, live-event registrations and attendance.
• Application data — jobs you apply to and cover notes you write.
• Technical basics — standard server logs (IP, timestamps) kept for security.

Why we collect it (purposes)

• To provide free training, issue verifiable certificates, and run live sessions.
• To match you with employment opportunities and, with your profile set to visible, to present your profile to approved employers.
• To communicate with you about your account, courses, events, and matching roles.
• To operate, secure, and improve the platform.

How your data is shared

• Approved employers see your profile only after our internal review window (currently 14 days) and only if your profile is set to visible. Employers see your first name and profile details; your email and phone are never shown — introductions happen through us.
• Resumes and voice samples are downloadable only by us, by you, and by an approved employer whose job you applied to (or after the review window if your profile is public).
• Service providers — we use Resend (email delivery), HubSpot (customer records), and Google Sheets (operational logs). Each receives only what it needs (typically your name, email, and event type). These providers process data outside the Philippines; by using the platform you consent to this cross-border transfer as described here.
• We never sell your personal data, and we never share it with anyone not described above without asking you first — unless required by law.

Retention

We keep your account data while your account is active. If your account is inactive for 24 months, or you ask us to delete it, we remove or anonymize your personal data within 30 days, except records we must keep for legal or security reasons. Certificates remain verifiable by code (name + course + date only) unless you ask us to remove them too.

Your rights under RA 10173

You have the right to be informed, to access, to correct, to object, to erasure or blocking, to damages, and to data portability. To exercise any of these, email info@cineminn.com — we respond within 15 business days. You may also complain to the National Privacy Commission (privacy.gov.ph).

Security

Passwords are hashed, uploads are stored under randomized names and served through access-controlled downloads, forms are CSRF-protected, and admin access is restricted. No internet system is perfectly secure; we notify affected users and the NPC of any qualifying breach as required by law.

Changes

We'll post any material changes here with a new "last updated" date. Continued use after changes means acceptance.
